| DATA CONVERSION AND IMPLEMENTATION |
| ESD can convert your existing warehouse catalog data to get you
started in APECS. If this your first experience with warehouse automation,
we can provide guidance at each step of the way. If applicable,
we will be sure that the beginning Warehouse Inventory account balances
in your APECS General Ledger have been fully reconciled to balances
drawn from the former system. If the former system had classification
coding for various types of goods, we may be able to retain those
codes for use in APECS. Data can be converted from almost any automated
source. |
| WAREHOUSE CATALOG DATA |
| The Master Catalog table provides each item's definition, as well
as information used to control distribution, accounting, and activity
history. Optional controls are provided to limit order quantities
and maintain safety stocks. An inventory account is part of each
catalog record to be used in accounting for chargeouts and returns
to stock. Item-level coding determines the costing method to be
used and enables back order processing. Running activity totals
are maintained on the catalog record for real-time display by authorized
users. |
| ACTIIVITY TRACKING |
| All warehouse activity, including requisitions, receipts, and
adjustments is tracked in an independent Transaction table for reporting
and analysis. An online screen lists an audit trail of all transactions
by item number. All changes or corrections to initial entries create
reversing records for total audit ability. |
| BACK ORDER PROCESSING |
| Back orders may be turned on or off by catalog number. When active,
this capability automatically produces a back order when available
stock is less than the order quantity. By default, orders are filled
automatically as stocks are replenished, but the warehouse administrator
can override this feature and fill back orders selectively. |
| WAREHOUSE ACCOUNTING |
| Two methods of accounting for warehouse activity are supported.
The Average Cost method dynamically updates an item's cost as new
stock is received. New issues are charged at the average cost of
stock on hand. The Standard Cost method maintains a constant carrying
cost as set by the system administrator (may be updated annually).
The costing method may be selected at the item level for complete
flexibility in your inventory accounting. |
| MARKUP FEATURE |
| A markup percentage may be attached to an item or class to increase
or decrease the price charged to consumers. This overhead adjustment
can be used to cover special handling, delivery, or storage costs
for selected items, or for all items to redistribute the cost of
Warehouse operations. Accounting for the markup is fully automated,
with revenue credited to accounts predefined by the system administrator. |
| REPORTING |
| The Warehouse system includes pre-packaged reporting for comprehensive
catalog and activity tracking information. Standard reports provide
listings of catalog items, enable reconciliation to general ledger
inventory accounts, and support your physical inventory activity.
In addition, you can use industry-standard desktop tools to create
queries against all APECS data. Ask us for a demonstration of ODBC
access to APECS. |
